Information We Collect
Information you provide directly. When you contact us by email, phone, or through our website booking tool, we collect the information you submit: your name, email address, phone number, and the contents of your inquiry.
Booking data. When you schedule a discovery call through Microsoft Bookings, your scheduling information is collected and processed by Microsoft Corporation under their privacy terms in addition to ours.
Technical information. When you visit our website, Cloudflare (our content delivery and security provider) processes your IP address and request metadata to protect against threats and ensure performance. We do not receive or store this data directly.
Website analytics. Certain pages on our website may include Google Analytics to understand how visitors use our content. Where analytics are present, we note this. Analytics data is aggregated and does not identify you personally.
How We Use Your Information

We do not use your personal information for unsolicited marketing without your consent.
Legal Basis for Processing (GDPR)
For visitors and clients in the EU or UK, we process personal information under the following legal bases:
- Contract performance: processing necessary to deliver services you have engaged us for
- Legitimate interests: responding to inquiries, protecting our website, improving our services
- Legal obligation: retaining records as required by applicable law
- Consent: where you have explicitly agreed, such as receiving communications from us
Who We Share Information With
We do not sell, rent, or trade your personal information. We share information only in the following circumstances:
- Microsoft Corporation: we use Microsoft 365 for business operations. Scheduling data passes through Microsoft Bookings. Microsoft acts as a data processor under a data processing agreement.
- Cloudflare, Inc.: website traffic is routed through Cloudflare's global network for security and performance. Cloudflare processes connection metadata but does not receive the content of your communications with us.
- Service providers: we may engage trusted third-party providers (such as billing or communication tools) who process data solely on our behalf and under appropriate data processing terms.
- Legal requirements: we may disclose information if required by law, court order, or to protect the rights and safety of PowerBoot or others.
Data Retention
We retain personal information for as long as necessary to fulfill the purpose for which it was collected, or as required by law. Client engagement records are retained for a minimum of seven years in accordance with Canadian business record-keeping requirements. Contact inquiries that do not result in an engagement are retained for up to two years.
You may request deletion of your personal information at any time, subject to our legal retention obligations.
Cookies
Our website does not set first-party cookies. Cloudflare may set technically necessary cookies to maintain security and performance of the website. These cookies do not track you across other websites and are not used for advertising purposes.
Where Google Analytics is present on a page, it may use cookies to collect aggregated usage data. You can opt out of Google Analytics tracking using the Google Analytics Opt-out Browser Add-on.
Your Rights
Under PIPEDA, Alberta PIPA, and where applicable the GDPR, you have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate or incomplete information
- Request deletion of your information, subject to legal retention requirements
- Object to or request restriction of certain processing activities
- Receive your information in a portable format (GDPR)
- Withdraw consent where processing is based on your consent
- Lodge a complaint with your applicable privacy supervisory authority

Security
We implement reasonable technical and organizational measures to protect personal information against unauthorized access, disclosure, alteration, or destruction. Automation services we deliver process data through Microsoft's cloud infrastructure, using Entra ID access controls and direct service-to-service data movement that does not route sensitive data through external systems.
International Transfers
Our website infrastructure uses Cloudflare's global network and Microsoft's cloud services, which may process data outside Canada. Both providers maintain data processing agreements and comply with applicable international data transfer requirements, including Standard Contractual Clauses where required under GDPR.

We may update this policy from time to time. Material changes will be reflected in the "Last updated" date at the top of this page. Your continued use of our website or services after changes are posted constitutes your acceptance of the updated policy.
